Veterinary Provider Terms

Template notice: these terms are our working provider agreement and are undergoing
attorney review. We publish them now because transparency beats polish — if anything here
changes after legal review, listed providers will be notified before it applies to them.
These Provider Terms govern the relationship between the SearchPetVets / Professional Pet Vet platform ("Platform"), part of the PetHealthCloud family, and the participating veterinary practice or professional ("Provider"). By listing a practice, Provider agrees to these terms.
1. What the Platform is — and is not
The Platform is a directory, discovery, and communication service. It helps pet owners find Providers, request appointments, and exchange scheduling messages. The Platform does not provide veterinary care, does not employ Providers, and does not direct, supervise, or influence any medical decision. All diagnoses, treatments, prescriptions, and professional conduct are solely the Provider's responsibility.
2. Independent provider status
- Provider is an independent professional, not an employee, agent, or representative of the Platform.
- Provider is responsible for compliance with state veterinary law, licensing, VCPR requirements, and professional standards in every jurisdiction where they practice.
- Provider maintains their own professional liability insurance.
3. Listings and accuracy
- Provider agrees to keep profile information — services, hours, contact details, credentials — accurate and current.
- Unclaimed listings are built from public business information; claiming a listing lets the practice correct and control it, free.
- Badges such as "Verified" or "Premium" describe listing status on the Platform, not a medical-quality rating.
4. Appointment requests
- Requests are forwarded to Provider by text message and email; Provider's reply (confirm, decline, or propose an alternate time) is relayed to the pet owner.
- A request is not a confirmed appointment until Provider confirms it. Provider controls their own schedule, pricing, and policies at all times.
5. Fees — the promises in writing
- A basic listing is free. Premium placement is a flat monthly subscription, cancellable anytime.
- Provider is never charged for returning clients.
- Provider is never charged for no-shows or cancellations. If a per-new-client fee option is introduced, it will apply only to new clients whose first visit actually occurs.
- All billing is disclosed before it is incurred; no surprise fees.
6. Reviews
- Reviews are submitted by pet owners and moderated before publication.
- Providers cannot pay to add, remove, or alter reviews or ratings — and neither can anyone else. Listing tiers never affect review content.
- Providers may report reviews they believe violate policy; moderation decisions follow the published policy, not payment status.
7. Indemnification and liability
Provider agrees to indemnify and hold harmless the Platform, its owners, and affiliates from claims arising from Provider's medical services, professional decisions, or regulatory violations. The Platform's total liability to Provider will not exceed the fees Provider paid to the Platform in the twelve months preceding the claim. The Platform makes no guarantee of any minimum number of bookings, clients, or revenue.
8. Suspension and termination
Either party may end this relationship at any time. The Platform may suspend or remove a listing for violations of law, misrepresented credentials, fraud, or risk to pet owners — with notice and an opportunity to respond except where immediate action is required.
9. Governing law
These terms are governed by the laws of the State of Arizona, without regard to conflict-of-law rules.
